Administrative Assistant

The Administrative Assistant is primarily a support role to the office staff. Duties and responsibilities include providing administrative support to ensure efficient operation of the office. The Administrative Assistant supports managers, employees, instructors, and customers through a variety of tasks related to organization and communication. Must be available evenings & Saturdays.

Duties & Responsibilities:

  • Answer phones, respond to general inquiries via email, be present at the front desk, provide customer service;
  • Clean and organize the front desk and lobby area;
  • Check main voicemail;
  • Sort mail;
  • Set-up/Clean-up of classes for the day and for the following day, which includes mopping, sweeping, trash removal, and setting up classroom tables, chairs and easels as necessary;
  • Open/Close the building including properly setting alarm;
  • Process class registrations, payment and enter in database (Proclass);
  • Maintain integrity of all databases, including updating demographic information and correcting other errors;
  • Assist with class cancellation and other Education Department related correspondence;
  • Assist with event preparation, including a willingness to staff the events as directed;
  • Assist with mailings, including marketing materials, appeals, member renewal notices, and new member letters;
  • Assist with the monitoring, ordering and restock of office and classroom supplies;
  • Assist with the maintenance and organization of promotional materials in the building;
  • Assist with other administrative tasks as assigned.

High school diploma or G.E.D required.; pursuing college degree is desirable. Six months of hands on either in receptionist or administrative support experience is preferred.Education & Experience:

Skills & Abilities:

  • Must be responsible, organized, use good judgment and common sense, and possess strong interpersonal skills;
  • Basic computer knowledge (MS Office to include MS Word and Excel and email;
  • Knowledge of operating standard office equipment;
  • Valid Pennsylvania driver’s license with reliable transportation
